Pluvo AI Consulting ("Pluvo", "we", "our", "us") is a Canadian Salesforce Consulting Partner with offices at 150 Elgin St., Ottawa, Ontario, Canada. This Privacy Policy explains how we handle personal information when you visit pluvoai.com, contact us as a prospect or client, or apply for a role.
We are responsible for the personal information under our control and have designated our team at Pluvo to oversee compliance with PIPEDA. Questions or concerns can be directed through our contact page.
2. What we collect
Information you provide directly to us:
- Contact form submissions: first name, last name, work email, company, the message you send us
- Career applications: first name, last name, email, LinkedIn or portfolio URL, Trailhead profile URL, role of interest, experience level, and a one-paragraph cover letter
- Email communications you initiate with our team
- Information you share during discovery calls or engagements
Information collected automatically:
- Server logs (IP address, browser type, pages requested, referring URL) — used solely for security and basic site analytics
- We do not currently use cookies, third-party analytics tools, advertising trackers, or session replay tools
3. How we use your information
- To respond to inquiries, schedule discovery calls, and send proposals
- To deliver consulting services and manage our relationship with you
- To evaluate applications for current and future open roles
- To send transactional communications (responses, scheduling, follow-ups) related to your inquiry
- To comply with our legal and regulatory obligations
- To protect the security and integrity of our website and systems
We do not use your information for unrelated marketing without your separate consent.
4. Who we share information with
We share personal information only with the service providers we use to operate our business:
- Salesforce — our CRM, where prospect and client information is stored and managed
- HostPapa — our Canadian web host, which transmits and processes form submissions
- Email service providers we use to communicate with you (e.g., Google Workspace)
We require these providers to handle your information in line with their own privacy and security obligations. We do not sell your personal information to anyone, ever.
5. International transfers
Some of our service providers (notably Salesforce) operate infrastructure in the United States. By submitting our forms or sharing information with us, you consent to your information being transferred to and processed in jurisdictions outside Canada, where privacy protections may differ from those in your home jurisdiction.
6. Your rights under PIPEDA
You have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Withdraw your consent for our use of your information at any time, subject to legal or contractual restrictions and reasonable notice
- File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe we've mishandled your information

7. How long we keep your information
We retain personal information only as long as needed for the purposes described above:
- Prospect inquiries: typically 24 months from the last interaction
- Active client records: for the duration of the engagement plus 7 years (Canadian tax record-keeping)
- Career applications: 12 months unless you ask us to keep them longer for future opportunities
- Server logs: 90 days
You can ask us to delete your information sooner — we'll do so unless we have a legal obligation to retain it.
8. How we protect your information
- All web traffic is encrypted via HTTPS
- Access to Salesforce and email systems is limited to authorized Pluvo team members on a need-to-know basis
- We use multi-factor authentication on all administrative accounts
- We monitor systems for unauthorized access and review security practices regularly
No system is perfectly secure. If a breach affects your information, we will notify you and the appropriate authorities as required by law.
9. Children's privacy
Our services and website are intended for individuals 18 years and older. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us so we can remove it.
10. Third-party links
Our site links to third-party websites (LinkedIn, Salesforce AppExchange, Google Maps, partner websites, etc.) for your convenience. Those sites have their own privacy policies; we are not responsible for their practices.
11. Changes to this policy
We may update this Privacy Policy occasionally to reflect changes in our practices, technology, or legal requirements. The "Last updated" date at the top will reflect the current version. Material changes will be communicated through a notice on our website.
